Problem

"You have to document rapidly and accurately in a high-pressure environment, which increases concern for errors.

"You have to document rapidly and accurately in a high-pressure environment, which increases concern for errors.

That's the reality Healiom's tool has to solve for.

Every patient encounter requires a SOAP note (Subjective, Objective, Assessment, Plan) for patient care, billing, and legal protection. It's necessary, but existing software makes it worse: under time pressure and high patient volumes, poorly designed tools turn required documentation into extra, unnecessary work.

Industry standard, but not user-friendly

Industry standard, but not user-friendly

To understand the problem I needed to solve, I studied the platforms already in place. EHR systems like Epic, Cerner, and Athenahealth are the industry standard, but they weren't designed for speed or simplicity.

Exploring these platforms I discovered many issues that were also raised by the American Medical Association.

  • Visually overwhelming interface.

  • Tedious, multi-click inputs

  • Buried/difficult to locate features.

  • Lack of or unclear alerts.

These issues slow down and impede workflows, especially in high-stress, high-volume medical environments.

"The repetitive nature of SOAP notes can be quite tedious. Each note demands attention to detail, and when you're handling a high volume of patients, it becomes an exhausting part of the workflow."

The pain points

The pain points

SOAP notes are tedious.

When patient volumes are high, both quality of notes and amount of time spent with patients can be effected.

Speed and accuracy

Rapid documentation in high-pressure medical setting can cause increased concerns for errors and burnout.

How can we design a Zoom platform to streamline the creation of SOAP notes for medical professionals, ensuring both efficiency and accuracy while prioritizing user experience?

Required features

The project called for incorporating AI suggestions directly into the UI, along with medical transcription, summarization, and SOAP note generation. These constraints shaped the flow from the start: every screen needed to show AI involvement clearly without making the physician feel like they'd lost control of the note.

Early hand sketches explored sign-up, live transcript layout, and how AI-generated suggestions would sit alongside physician input.

Problem 1:

Wasted space = more scrolling

Original layout stacked input boxes and AI suggestions vertically, increasing vertical scroll.

Solution:

Combined input and suggestions into a single component. Users can accept or delete suggestions upon hover.

Problem 2:

Trusting the AI

A user suggested that some may inherently distrust AI-generated results. They asked how we can make the AI appear to be "thinking" more to generate results that seem more reliable.

A user suggested that some may inherently distrust AI-generated results. They asked how we can make the AI appear to be "thinking" more to generate results that seem more reliable.

Solution:

I broke the summary-loading state into visible steps (listening, creating dictation, analyzing, preparing summary) that show the AI's process instead of hiding it behind an instant result.

Talk to target users early

Communication is key, especially when working on a small team.

I started this project with no prior knowledge of the medical industry, but talking with healthcare professionals allowed me to gain a better understanding of the problem space and my users.
